Verify an AI Meeting Summary: Review Checklist
An AI meeting summary should be reviewed before it becomes a decision record or a list of assigned tasks. Fluent wording can conceal an invented detail, an omitted qualification, or a proposal presented as an agreement. Review the claims that people will act on first.
Use the summary, transcript, and any permitted recording together. If an important claim cannot be checked, mark it unresolved instead of treating the summary as the source of truth.
Identify the consequential claims
Highlight decisions, assignments, deadlines, amounts, requirements, and statements that someone approved or rejected something. These are the details most likely to change another person's behavior.
A broad topic summary may need only a quick context check. A claim that someone authorized a release, accepted a contract term, or promised a date deserves a direct evidence review. Do not give all sentences the same priority simply because they appear in the same paragraph.
Create a short claim list with a source location and review status. This makes the review inspectable and lets another person understand which items were checked and which remain uncertain.
Find literal evidence, then check context
Locate the supporting words in the transcript. If a quote is attached, verify that it appears verbatim rather than as an AI paraphrase inside quotation marks. Read the nearby turns for qualifications, corrections, and disagreement.
A matching quote is necessary evidence for a quoted claim, but it is not always sufficient. Someone may have been describing an option they rejected later. The notes need to reflect the final state supported by the conversation.
If the transcript is ambiguous, use the permitted recording or ask the relevant speaker. Do not repair missing evidence by guessing what the person probably intended.
Review names, dates, numbers, and negations
Check the small details that change meaning. “Do not publish before review” should not become “publish before review.” A date mentioned as a possibility should not appear as a fixed deadline. Similar names can lead to the wrong owner even when the rest of the sentence is accurate.
For relative dates, record the specific calendar date once confirmed. Include the relevant time zone for a scheduled event across locations. Keep an unresolved date visibly unresolved until someone confirms it.
For quantities or amounts, preserve the unit and the uncertainty stated in the conversation. A range, estimate, or hypothetical example should not be rewritten as an exact measured result.
Separate discussion from agreement
Classify each item as discussed, proposed, agreed, rejected, or unresolved according to the evidence. A long discussion about an option does not mean the option was selected. A confident speaker does not automatically represent everyone else's approval.
Use a decision log for the subset of items that are actual decisions. Use the action-item template for work assigned and confirmed. This separation keeps a useful summary from acquiring authority it did not earn.
If the conversation never reached a decision, state the question and the next person or process needed to resolve it. That is an actionable outcome even without a completed decision.
Confirm the people attached to claims
Check how speaker attribution was obtained. In TeamMeet, each connected microphone is transcribed separately. This associates a transcript stream with a participant connection; it does not distinguish several people who speak into a shared microphone.
Do not attach a person's name solely because an AI guessed who a mixed audio segment sounded like. When attribution is uncertain, label the gap and confirm with the participants before assigning a consequential statement.
The pre-meeting microphone checklist helps establish clearer capture conditions. It cannot guarantee perfect speech recognition or replace review after the meeting.
Correct the record and communicate the correction
Edit the summary with an explanation when a material claim changes. If an inaccurate version was already shared, send the correction through the same appropriate channel using your organization's normal process. The correction should be easy for recipients to identify.
Keep the reviewed version and the source record linked with appropriate access. Do not make private transcripts public merely to give a summary a convenient citation.
Start from evidence in TeamMeet
Use TeamMeet for a meeting with separate microphone streams and transcript-linked notes, then review the generated items before turning them into commitments. The useful distinction is between what was captured, what the software inferred, and what the participants actually confirmed.
Prepared with AI assistance. Examples are illustrative; confirm consequential claims against the source record and with the participants.
